Invoice reminders that stop when the client pays
Asking clients for money is not fun, and it is easy to forget. I set up reminders that go out by themselves at the right time, in your words. They stop as soon as an invoice is paid. Automations start from $100.
First, check your invoicing software
Many invoicing tools, like QuickBooks, Xero and Stripe, can already send reminders. If your tool can do it, I show you where to turn it on, and you do not need a project.
Choose this when
- • Your invoicing tool cannot send reminders, or its reminders do not fit how you work.
- • Your invoices are in a spreadsheet, not in invoicing software.
- • You want different reminders for different clients, or reminders by WhatsApp or SMS.
- • You want a weekly list of who still owes you money.
How it works
Every day, the automation checks your unpaid invoices.
A few days before and after the due date, the client gets a short, polite reminder in your words.
When the invoice is paid, the reminders stop.
Every week, you get a list of unpaid invoices.
If a client still has not paid after the last reminder, you get a message to contact them yourself.
It uses your invoicing tool or Google Sheets, connected with Make.com, n8n or Zapier. The emails come from your own email address.
Where AI helps
AI can write the reminders so they sound like you, with a different tone for the first, second and last reminder. You approve the texts before anything is sent.

Who do the reminders come from?
From your own email address, written in your words.
What if a client pays, but the invoice is not marked as paid yet?
Then the client could get a reminder by mistake. That is why I set it up to check the payment status right before each reminder is sent.
Can reminders go by SMS or WhatsApp?
Often yes, but it depends on your country and your account. I check this before I give you a price.
How many reminders does a client get?
You decide. A common setup is one reminder before the due date and two after it.
